SCOPE OF INFORMATION USE
This information about the processing of personal data by THE SIGN applies to the data received:
– through electronic forms,
– as part of contracts with clients (only contact details),
– by representatives of THE SIGN in the field of purchasing, sales or marketing activities (e.g. as part of business meetings or correspondence, as part of conferences or other events, tenders, negotiations, etc.).

Information does not apply to the processing of employees’ personal data, job candidates, or data entrusted for processing under a contract of entrustment.

SOURCE OF DATA COLLECTION AND CATEGORIES OF DATA DISCLOSED BY OTHER ENTITIES
THE SIGN can receive contact details directly from the person to whom the data relates (e.g. through electronic forms or during conferences) or through other people (e.g. from the employer, other employee or other entity with whom the person cooperates) .
In the case of direct contact, you have full control over the scope of data available to THE SIGN.

LEGAL BASIS, PROCESSING PRUPOSES, PROCESSING PERIOD
Personal data is processed by THE SIGN for the purposes listed below.
For each processing purpose, we provided the legal basis for the processing and the criteria for determining the data processing period for this purpose.

I.
PROCESSING PURPOSE: performance of the contract or order.
LEGAL BASIS: art. 6 par. 1 point b) GDPR.
PROCESSING PERIOD: duration of obligations and the period of limitation of claims resulting from the provisions.
In the case of a contract or order between you and THE SIGN, the data given by you will be processed in order to execute such a contract or order and settle them.
In the case of electronic forms used to download / order a file (e.g. e-book, demo, report, etc.), the given data will be processed in order to deliver the ordered file and for contacts related to it and possible settlements.
In the case of electronic forms that allow you to sign up for a conference, training or other event organized by THE SIGN, the data provided will be processed to organize the event and for contacts with you related to this event and possible settlements.

II.
PROCESSING PURPOSE: business contact.
LEGAL BASIS: art. 6, par. 1, point f) GDPR.
PROCESSING PERIOD: up to the date of the opposition filed under article 21 GDPR.
Contact details entered into the electronic form, made available under a contract or order, or made available in other ways, may be processed by representatives of THE SIGN to the purpose of business contacts.
The representatives of THE SIGN can contact you in order to present the offer of THE SIGN, invitation to a meeting or event organized by THE SIGN or as part of other marketing activities. You may receive occasional information about THE SIGN’s products, services or activities and other information related to THE SIGN’s business areas.
In case you are a representative of a supplier or a service provider, the representatives of THE SIGN can also contact with you, to get an offer, information or documents.
The processing of your data in this case will be undertaken in order to implement the legitimate interest of the administrator, which is the marketing and sale of products and services and building and strengthening business relationships.
You have the right to object to such processing of personal data in accordance with the information in the part of the ENTITLEMENTS.

III.
PURPOSE: newsletter.
LEGAL BASIS: art. 6, par. 1, point a) GDPR.
PROCESSING PERIOD: to cancel the newsletter (withdrawal of consent).
If you agree to receive the newsletter from THE SIGN, your email address will be used to send newsletters. The newsletter will be sent to you with the frequency selected by the marketing department, so that you can get up-to-date information on the offer and activities of THE SIGN and other information regarding the areas of THE SIGN’s business.
We draw attention to the fact that irrespective of the consent to the newsletter, the administrators may have a basis for processing your data to the purpose of business contacts under the legitimate interest of the administrator (in accordance with point II).

IV.
PURPOSE: answer to the inquiry.
LEGAL BASIS: art. 6, par. 1, point a) GDPR.
PROCESSING PERIOD: to resign from getting a reply (withdrawal of consent).
If you fill out the contact form or submit your inquiry in a different form (e.g. e-mail, telephone, social network, chatbot), you consent to the contact related to the execution of your request or inquiry. To withdraw your consent, please use the contact details contained in the section “CONTACT DETAILS IN MATTERS CONCERNING PERSONAL DATA”. This consent may be revoked at any time, however, its withdrawal does not affect the legality of processing prior to the withdrawal of consent, moreover, the withdrawal of consent results in a lack of response.

V.
PURPOSE: organization and promotion of events.
LEGAL BASIS: art. 6, par. 1, point f) GDPR.
PROCESSING PERIOD: the period of performing obligations and the period of limitation of claims resulting from the provisions or up to the day of including objections submitted pursuant to art. 21 GDPR.
In case of participation in a conference, training or any other event organized by THE SIGN, the data provided may be made available to other participants, speakers, hotels and other entities involved in the organization of the event. The information about the speakers can also be made available to the public on the website, in the event application and in promotional and conference materials.
The processing of your data in this case will be taken in order to implement the legitimate interest of the administrator, which is the performance of contracts concluded, performance of duties and promotion through the organization of events.
You have the right to object to such processing of personal data in accordance with the information in the part of the ENTITLEMENTS.

VI.
PURPOSE: performance of a contract or order between THE SIGN and another entity.
LEGAL BASIS: art. 6, par. 1, point f) GDPR.
PROCESSING PERIOD: the period of performing obligations and the period of limitation of claims resulting from the provisions or up to the day of including objections submitted pursuant to art. 21 GDPR.
In the case of indicating you as a contact person by your employer or another entity, your data may be processed for the purpose of performance and settlement of the contract (or order) concluded between THE SIGN and your employer or other entity. Data processing will in this case include ongoing contacts related to the implementation of such a contract, preparation and archiving of contract performance documentation, as well as pursuing claims or defending against claims of the other party.
The processing of your data in this case will be taken in order to implement the legitimate interest of the administrator, which is the protection of rights, performance of contracts and obtaining due remuneration.
You have the right to object to such processing of personal data in accordance with the information in the part of the ENTITLEMENTS.

VII.

PURPOSE: cooperation with THE SIGN’s partner.
LEGAL BASIS:: art. 6, par. 1, point f) GDPR.
PROCESSING PERIOD: the period of performing obligations and the period of limitation of claims resulting from the provisions or up to the day of including objections submitted pursuant to art. 21 GDPR.
If you are interested in a product or service that is distributed through the THE SIGN partner network, your personal data will be shared with your dedicated partner. This applies if you are a prospective or current customer of THE SIGN, and also to the situation where the one of the parties of the contract or order is / will be your employer or the entity with which you cooperate.
The processing of your data in this case will be undertaken in order to implement the legitimate interest of the administrator, which is the performance of contracts concluded, business development and the development of a network of permanent partners.
You have the right to object to such processing of personal data in accordance with the information in the part of the ENTITLEMENTS.

VIII.
PURPOSE: contact with media and promoting of THE SIGN’s activity, services and products in the media.
LEGAL BASIS: art. 6, par. 1, point a) GDPR.
PROCESSING PERIOD: to resign from contacts (withdrawal of consent).
In the case of journalists, editors, reporters and other journalists, personal data will be processed for the purpose of maintaining the contacts of THE SIGN’s representatives with the media and to promote the activities, services and products of THE SIGN in the media. In particular, this may include informing about important events, activities, products and services and the achievements of THE SIGN.
Contact with a representative of THE SIGN will be treated as consent to such contacts. In the case of consent – consent is voluntary and can be withdrawn at any time. For this purpose, please use the contact details contained in the section “CONTACT DETAILS IN MATTERS CONCERNING PERSONAL DATA”. Withdrawal of consent does not affect the lawfulness of data processing prior to withdrawal of consent.

IX.
PURPOSE: realization of the legal obligation to prepare and storage of documentation.
LEGAL BASIS: art. 6, par. 1, point c) GDPR.
PROCESSING PERIOD: date of storage of invoices, accounting books and documents confirming the conclusion and performance of the contract resulting from the national administrator’s provisions.
In the case of the performance of a contract or order or other service, we will also process personal data included in invoices, in accounting books or in other documentation confirming the conclusion and performance of the contract to draw up and store documents in accordance with applicable law. This applies to situations where you are a party to a contract or order, as well as a situation where the contract or order is your employer or an entity with whom you cooperate or when you have done any benefit (e.g. hotel booking).

PURPOSE: confirmation of the fulfillment of obligations and pursuing claims or defense against claims.
LEGAL BASIS: art. 6, par. 1, point f) GDPR.
PROCESSING PERIOD: duration of obligations and the period of limitation of claims resulting from the provisions.
The data entered on the electronic form, made available under the contract or order, or otherwise made available to THE SIGN can be processed for the purpose of archiving information or documents confirming the execution of THE SIGN’s obligations and for the purpose of asserting claims or defending against claims against THE SIGN. This applies to situations where you are a party to a contract or order, as well as a situation where the contract or order is your employer or an entity with whom you cooperate and the situation where on any basis the company THE SIGN was required to perform the service on Your / your thing or implementation of your rights.
In such a case, data processing will be undertaken in order to implement the legitimate interest of the administrator, which is the protection of rights, confirmation of the performance of duties and obtaining due remuneration.
You have the right to object to such processing of personal data in accordance with the information in the part of the ENTITLEMENTS.

CONSEQUENCES OF NOT PROVIDING YOUR DATA
In the case of electronic forms – providing data is voluntary, but not providing data indicated as obligatory (required) results in the inability to send the form and consequently, depending on the type of form, the inability to download the file, participate in an event or subscribe to the newsletter.
In the case of data collected by the representatives of THE SIGN in the scope of purchasing, sales or marketing activities – providing data is fully voluntary and the consequence of their failure to provide may be the inability to contact you in the future.
In the case of given persons who are a party to the contract / order concluded with THE SIGN – providing the data necessary for the performance of the contract and the performance of legal obligations is a condition for the conclusion and performance of the contract.

RESIGNATION FROM THE NEWSLETTER
If you agree to the newsletter – consent to the newsletter is voluntary and can be withdrawn at any time. For this purpose, please follow the instructions contained in the received newsletter or use the contact details contained in the section “CONTACT DETAILS IN MATTERS CONCERNING PERSONAL DATA”. Withdrawal of consent does not affect the lawfulness of the processing of data prior to the withdrawal of consent.
If you opt out of receiving the newsletter but do not object to business contacts, we can still have a basis to contact you for this purpose (point II under LEGAL BASIS, PROCESSING PURPOSES, PROCESSING PERIOD). ENTITLEMENTS
According to the GDPR regulations, you have the right to:
– access to data;
– rectification of data;
– deletion of data;
– restrictions on data processing;
– data transfer;
– objection (where the basis for processing is the legitimate interest of the controller);
– withdrawal of consent (if consent is the basis for processing).
The implementation of these rights depends on the conditions set out in the GDPR. If you refuse to accept your request, you will receive an answer with justification for refusal.

We pay attention to the fact that:
– the right to delete data and the right to demand limitation of their processing are only valid in cases specified in the provisions of the GDPR;
– the right to data transfer shall only be granted if the legal basis for processing is consent or performance of the contract;
– the administrator may refuse to delete your data despite submitting such a request, if there is one of the exceptions listed in the RODO, eg when processing is necessary to fulfill a legal obligation or to establish, investigate or defend claims;
– in some cases, the administrator may refuse to take into account your objection to the processing of data on the basis of the legitimate interest of the administrator, where there are legally valid grounds for data processing that override your interests, rights and freedoms or there are grounds to determine, pursuing or defending claims – this right is not available to the administrator when the data is processed for direct marketing purposes (e.g. business contacts).

DATA RECIPIENTS, TRANSFERRING TO THIRD COUNTRIES
The contact details are stored on the THE SIGN servers, but they are available remotely to the representatives of THE SIGN.
Therefore, we would like to inform you that personal data may be transferred to a non-EU country in which THE SIGN operates.
The data can be made available to suppliers, service providers and partners with whom THE SIGN cooperates in the scope necessary to provide services to clients, business contacts, marketing activities and the operation of THE SIGN.
In case of participation in a conference, training or any other event – your data may be shared with other participants, speakers, co-organizers, hotels and other entities involved in the event organization.
In the event of transfer of data to a third country in relation to which no European Commission decision has been issued stating an appropriate degree of protection, THE SIGN applies appropriate safeguards through standard data protection clauses adopted by the European Commission or supervisory authority (in accordance with Article 46 paragraph 2 point c) and d) GDPR).

AUTOMATED DECISION MAKING
The data provided by you may be processed in order to profile and adjust the marketing content we send, offers or information to your interests and business or professional activity.
However, the data provided by you will not be processed for automated decision making.
